Client Renewal Rate
Why client renewal rate matters
Renewal is a direct commercial decision made after the client has experienced the service. Tracking it helps a coach compare offers, cohorts and engagement lengths. It also exposes whether revenue depends on constant replacement rather than retained relationships.
Renewal rate complements mentee retention rate and client churn in coaching. Define which engagements are eligible before counting. A completed fixed project, a client who achieved the intended purpose or a deliberately closed engagement should not automatically be labelled churn.
How do you calculate client renewal rate?
Use the formula: client renewal rate = renewed eligible engagements / all engagements eligible for renewal x 100. Measure by engagement rather than client when one client can hold multiple contracts. Keep the same eligibility rule across periods.
| Worked example | Count |
|---|---|
| Engagements reaching an eligible renewal point | 12 |
| Engagements renewed into a paid term | 8 |
| Calculation | 8 / 12 x 100 |
| Client renewal rate | 66.7% |
Segment the result by offer, acquisition source, term and client type only when the sample is large enough to interpret. Review non-renewals qualitatively as well: purpose completed, budget changed, poor fit, weak evidence, service issue or no decision. MentPass keeps review dates, progress records and value recaps connected so renewal work does not begin in the final session.
Common client renewal rate mistakes
- Counting every completed engagement as a failed renewal.
- Mixing monthly subscriptions and fixed-term packages without a clear rule.
- Reporting percentages from very small cohorts without the underlying count.
- Treating renewal as proof that the engagement produced the intended outcome.
- Ignoring discounts, scope increases or reduced margins in renewed revenue.
Frequently Asked Questions
What is a good coaching client renewal rate?
No reliable universal benchmark applies across coaching offers. Compare consistent cohorts in your own practice and report both the percentage and underlying count.
Is renewal rate the same as retention rate?
Not always. Renewal rate focuses on eligible contract decisions. Retention rate may measure which clients or mentees remain active across a broader period.
Should successful completions count as churn?
Not by default. Classify intended completion separately so the measure does not punish work that ended as agreed.
How often should renewal rate be measured?
Monthly tracking can maintain the record, but quarterly or rolling 12-month reporting is often easier to interpret when the practice has a small number of renewal decisions.
