1. Introduction

MentPass ("we", "us", or "our") operates the platform at app.mentpass.com and the public website at mentpass.com. This Privacy Policy explains how we collect, use, and protect your information when you use our mentorship platform.

2. Information We Collect

Account Information

When your mentor creates your account, we store your name, email address, and company name. You create your own password, which is stored in encrypted (hashed) form.

Analytics Data (with your consent)

If you choose to connect your marketing accounts, we access the following data in read-only mode:

Google Analytics (GA4): Website traffic metrics including sessions, users, pageviews, traffic sources, top pages, and device data. We use the scope analytics.readonly.
Google Search Console: Search performance data including clicks, impressions, CTR, average position, top queries, and top pages. We use the scope webmasters.readonly.
Google Ads: Advertising performance data including spend, impressions, clicks, conversions, campaigns, ad groups, ads and creative text, keywords, search terms, devices, and daily performance. We use the scope adwords in read-only mode.
Meta Ads: Advertising performance data including spend, reach, impressions, clicks, conversions, campaigns, ad sets, ads and creative text, reported actions, placements, and age and gender breakdowns. We use the ads_read permission.

All analytics data is accessed in read-only mode. We never modify your analytics settings, create campaigns, or make changes to your accounts.

Meeting Data

If your mentor connects Fathom or Fireflies for meeting recordings, meeting summaries, transcripts, attendee details, action items, and provider recording links may be synced to the platform. Google Calendar events (title, time, attendees) may also be synced.

Platform Usage

We store messages sent through the chat feature, questions you ask, action items, and resources shared by your mentor.

3. How We Use Your Information

We use your information to:

Display your marketing analytics in your personal dashboard
Enable your mentor to review your marketing performance and provide guidance
Track mentorship action items and progress
Facilitate communication between you and your mentor
Send email notifications about questions, messages, and meetings

We do not sell your data, use it for advertising, or share it with third parties beyond what is described in this policy.

4. Data Storage and Security

Your data is stored securely using Supabase (PostgreSQL) hosted in the EU. OAuth tokens are stored encrypted in our database. The application is hosted on Vercel with HTTPS encryption for all data in transit.

Analytics data is stored as aggregated daily snapshots. We do not store individual user-level data from your analytics platforms.

5. Data Retention

We retain your analytics snapshots for the duration of your mentorship engagement. When your account is deactivated or deleted, all associated data (including analytics, messages, and OAuth tokens) is permanently deleted.

6. Third-Party Services

We integrate with the following third-party services:

Google APIs (Analytics, Search Console, Ads, Calendar) for analytics data and scheduling
Meta Marketing API for advertising performance data
Fathom for meeting recording summaries and transcripts
Fireflies.ai for meeting transcripts, summaries, attendees, action items, and recording links
Anthropic for AI-generated mentor preparation briefs, recaps, topic classification, and drafting tools
Resend for email notifications
Supabase for database and file storage
TidyCal for call booking

Google API Limited Use

MentPass's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

We use Google user data only to provide and improve user-facing MentPass features. We do not sell Google user data, use it for advertising, or use it to train general-purpose artificial intelligence or machine-learning models.

Artificial Intelligence Processing

MentPass uses Anthropic as a third-party AI service provider. Selected meeting context, action-item context, and aggregated analytics metrics may be sent to Anthropic's API to generate mentor preparation briefs, recaps, topic classifications, or drafts shown inside MentPass. This may include raw or derived Google API data when it is relevant to the requested feature. We do not permit that data to be used to train general-purpose AI or ML models.

Each third-party service has its own privacy policy. We encourage you to review them.

7. Your Rights

You have the right to:

Disconnect your analytics accounts at any time from Settings
Request a copy of your stored data
Request deletion of your account and all associated data
Revoke OAuth access via your Google or Meta account settings

8. Cookies

We use essential cookies only for authentication (session management). We do not use tracking cookies, advertising cookies, or third-party analytics on the platform itself.
