Coaching Session Recap

By Jason Aiginitis
A coaching session recap is a concise, client-facing record of the purpose, relevant observations, accepted actions and next focus from one coaching session. It supports continuity between conversations and gives the client a record they can challenge or correct. A recap is not the coach's private notes and should not contain every sensitive detail discussed.

Why a coaching session recap matters

Insight fades quickly when it is not connected to a decision or action. A recap gives the client a short return point: what mattered, what was agreed and what happens next. Across several sessions, the recaps create a visible record of themes and movement.

The recap differs from session notes, which may include private coach reflection, and from a value recap, which explains why selected progress matters across a longer period. A session recap should remain factual, useful and limited to the audience agreed for that record.

What should a coaching session recap include?

ElementUseful wordingAvoid
PurposeWe focused on the decision about...A generic meeting summary
ObservationYou identified that...Unlabelled psychological inference
DecisionYou chose to...An action the coach suggested but the client did not accept
ActionOwner, action and review pointA vague intention without timing
Next focusWe will review...A long list of every open topic

Draft the recap soon after the session, then review names, claims, sensitive details and action ownership. If AI assists, trace material statements to the session transcript and keep the coach in approval. MentPass lets coaches review a generated recap before sending it and keeps approved records linked to the client timeline.

Common coaching session recap mistakes

  • Sending a full transcript instead of selecting what supports follow-through.
  • Presenting coach interpretation as a client statement.
  • Adding actions without confirming acceptance and ownership.
  • Including private notes or sponsor-restricted information.
  • Writing so much that the client cannot find the next step.

Frequently Asked Questions

How long should a coaching session recap be?

It should be short enough to scan in a few minutes. Many sessions need only the focus, 2 to 4 useful observations, accepted actions and the next review point.

When should a coaching recap be sent?

Send it while the session remains current, commonly within 24 hours. Accuracy and confidentiality review matter more than immediate delivery.

Can AI write a coaching session recap?

AI can prepare a draft from an authorised source. The coach should correct errors, remove unnecessary details and confirm that actions were genuinely accepted before sharing.

Is a recap the same as coaching notes?

No. A recap is designed for sharing with the client. Coaching notes may be private and contain different observations, subject to the agreement and applicable requirements.
