Session Transcript

A coaching session transcript is a time-ordered text representation of speech captured during a recorded coaching conversation. It can support search, recap drafting, action review and preparation for later sessions. A transcript is not a complete or perfectly accurate record because transcription can miss speakers, wording, tone and non-verbal context.

Why a session transcript matters

A transcript lets a coach trace a summary or action back to the source conversation. That traceability is valuable when artificial intelligence generates draft notes or themes. It also makes repeated language and unresolved threads easier to find across a longer engagement.

A transcript is not the same as session notes. Notes select what the coach considers useful. The transcript attempts to preserve spoken content in order. AI coaching notes may be derived from either record, but should remain linked to their source and human-reviewed.

How should session transcripts work in practice?

UseValueRequired check
Action reviewFind the wording around a commitmentConfirm that it was accepted, not merely suggested
Recap draftingRecover decisions and open questionsRemove sensitive or unnecessary detail
Session preparationFind unresolved threadsDecide whether they remain relevant
Quality reflectionReview questions and interruptionsInterpret with audio and context where needed
Dispute resolutionProvide a contemporaneous sourceCheck accuracy, agreement and legal relevance

Obtain recording consent before creating a transcript. Restrict access, define retention and correct material speaker or wording errors before relying on the text. Do not send a full transcript to a client by default when a concise approved recap serves the purpose with less exposure. MentPass files transcripts from a connected Fathom account and keeps them tied to the correct client and session.

Common session transcript mistakes

  • Treating automated transcription as word-perfect evidence.
  • Failing to correct speaker attribution before using a quote.
  • Sharing a full transcript when a shorter record would meet the purpose.
  • Keeping transcripts longer than the stated retention period.
  • Searching for keywords without considering tone and surrounding context.

Frequently Asked Questions

Is a coaching transcript the same as session notes?

No. A transcript follows recorded speech in order. Session notes are a selected record written or approved by the coach for a defined purpose.

How accurate are AI session transcripts?

Accuracy varies with audio quality, accents, technical language, overlap and the service used. Review any passage that supports a material decision or quotation.

Should clients receive the full transcript?

Only when that is agreed and useful. A reviewed recap may provide better continuity while exposing less confidential information.

How long should coaching transcripts be stored?

Set a retention period based on the stated purpose, agreement and applicable law. Delete records when the purpose no longer justifies keeping them.
